How to work with supplies
Record purchases, manage suppliers and states, calculate totals, and use the journal.
The Supplies section is an internal purchase journal. Record a known amount quickly, then add the supplier, dates, and item breakdown when they become available. The application currently uses Russian labels; the relevant section is Поставки.
Quick example: only the amount is known
- Open Supplies → Add supply (Поставки → Добавить поставку).
- Enter
25 000and selectEUR. - Select Save (Сохранить).
Result: a new numbered draft appears. Its amount immediately contributes to the EUR Record total. A title, supplier, and dates are not required.
New supplies default to RSD. RSD, EUR, and RUB are totaled separately; the application does not apply exchange rates.
When little is known
The title and amount are optional. Save only a title, or even an empty record, when you need to preserve the fact that a purchase is planned. Opening the form creates nothing; the record appears only after Save.
Example: a supplier announces a new packaging batch but has not provided a price. Save “Autumn packaging” without an amount. The journal shows a draft with an unknown total, ready to complete later.
An unnamed row shows Без названия (Untitled), with its automatic number in the separate № column. The detail page identifies it as Поставка №N (Supply №N).
Numbers may use spaces between groups of thousands: 100 000 or 100 000,50. Pasted non-breaking spaces are supported. Amounts allow at most two decimal digits after a comma or dot, and quantities allow three.
Select Add details (Добавить подробности) to enter a supplier, state, dates, comment, or item breakdown. Expected and received supplies may still omit some of these details.
Items and additional charges
Choose Items and charges (Позиции и расходы) when one total is not enough. Only the item name is required; quantity, unit, and unit price can be added later. An additional charge needs a name, while its amount may remain blank. Untouched empty rows are not saved.
Complete-total example: add “Fabric” with quantity 10 and price 800, then add “Delivery” for 1 500. The supply total becomes 9 500 in the selected currency.
Incomplete-total example: add “Findings” with quantity 20, leaving the price blank. The record is saved, but the full total remains unknown. A partial amount is never presented as the complete cost.
The full total is known when there is at least one item, every item has a quantity and price, and every added charge has an amount. Zero is a known zero cost and is different from a blank value.
Switching between a single amount and a detailed breakdown requires confirmation. Switching to one amount proposes the known full total, or a blank field when the total is unknown. Changing the currency of a saved record also requires confirmation: numeric values stay the same and no exchange rate is applied.
Selecting or creating a supplier
Open the details and select an active supplier from the dropdown. No separate search is needed: available suppliers load immediately.
If the required name is missing, save the current supply as a draft first, then select New supplier (Новый поставщик). Create the entry in the Suppliers (Поставщики) directory, return to the supply, and select it. The directory also supports renaming, archiving, and restoring suppliers.
Example: Fabric House is renamed to Fabric House Serbia. Existing supplies keep the supplier name captured when it was assigned, while new assignments use the current name. An archived supplier cannot be newly assigned but remains visible on existing supplies.
States, corrections, and archiving
A new record is normally saved as Draft (Черновик). In the details, it can be marked expected or received; receipt may be recorded without a date. Cancellation, archiving, and restoration become available after saving according to the current state.
Drafts are editable. To correct an expected, received, or cancelled record, select Return to draft (Вернуть в черновик). This clears the receipt date while preserving other data and the record number. Receipt can be recorded without a date. Archiving preserves data and state while hiding the record from the default list; Restore (Восстановить) brings it back.
Correction example: a received supply has the wrong amount. Return it to draft, correct the amount, and save. Its supply number stays the same; enter the receipt date again if it is still needed.
If another window has changed the record, saving is rejected and your input stays in the form. Compare the changes before editing again.
Searching, filtering, and sorting
The order date is the first data column; missing dates are shown as unspecified. The automatic number and user title occupy separate № and Название (Title) columns. The number is shown as digits without a repeated number sign and sorts numerically. Select a column header to sort, and select it again to reverse the order. Sorting applies to all matching records and returns to page one; missing values stay last. Amount sorting groups records by currency. Totals and counts appear in a service row below the table; expand “How it is calculated” (Как считается) for the explanation.
Record total (Сумма записей) adds known full amounts of draft, expected, and received supplies under the current filters, including other pages. Cancelled records are excluded. RSD, EUR, and RUB are shown separately without conversion. When no amounts are known, the total is unspecified, not zero.
The Without a full amount (Без полной суммы) counter shows records with unknown totals, excluding cancelled records. The date range uses the order date: records without it are excluded from a selected period. Archived records are hidden by default and can be included with the archive filter. Search matches titles, numbers, saved supplier names, and item names.
Example: select EUR and Expected. The table and summary show only matching records, while the total still covers every result page rather than only the 25 visible rows.
Selecting and copying supplies
Select individual rows or the current page with the checkbox in the table header. After selecting a page, you can explicitly select every record under the current filters; changing filters clears the selection. The service row shows the count and per-currency totals for the selected records. This selected calculation includes selected cancelled and archived records and labels those counts. Values are a point-in-time snapshot and can be refreshed.
Select Copy selected (Копировать выбранные), review the list, and confirm. One operation can create up to 100 copies. Each copy gets a new number and becomes a draft; the order, expected, and received dates are cleared. Currency, single amount or item breakdown, charges, and note are preserved. An active supplier is copied with its current name; an archived supplier is omitted with a warning.
Opening the preview creates nothing and freezes the exact source set. If a supply or supplier changes, prepare the copies again. If the result is uncertain, retry the same request: its retained request ID prevents a second set of copies.
Example: select three recurring packaging purchases and create copies. You receive three independent drafts with cleared dates and the previous amounts or item breakdowns ready to edit.
What the Supplies journal does not do
The journal is for internal purchase tracking. It does not track payments or outstanding balances, support partial receipts, or post warehouse receipts. The Received state records a fact in the journal only: it does not create products or variants, change purchase or retail prices, increase stock, or add an inventory movement.
